Evening Document Specialist / Evening Word Processing Operator

Description:

We are seeking a detail-oriented and efficient Document Specialist/Word Processor to join a dynamic legal team. The Document Specialist/Word Processor will play a critical role in supporting attorneys and legal professionals by creating, formatting, and proofreading high-quality legal documents. The ideal candidate will have a strong command of legal terminology, an exceptional eye for detail, and the ability to handle time-sensitive projects with accuracy and discretion.


Key Responsibilities:

  • Document Preparation and Formatting: Create, format, and edit legal documents, including briefs, pleadings, contracts, memoranda, and client correspondence, ensuring compliance with firm-specific guidelines and formatting standards.
  • Document Proofreading and Quality Control: Proofread documents for grammar, punctuation, and consistency; ensure formatting and style are consistent with firm standards.
  • Template Management: Maintain and update document templates, including those for legal forms, letters, and agreements, ensuring templates are current and accessible.
  • Collaboration with Attorneys and Paralegals: Work closely with attorneys, paralegals, and other legal professionals to prepare and revise documents in a timely manner.
  • Document Management: Ensure documents are properly named, saved, and archived in the firm's document management system.
  • Confidentiality: Handle sensitive and confidential information with discretion, adhering to all privacy and security protocols.
  • Troubleshooting and Software Support: Assist with technical issues related to word processing software (primarily Microsoft Word) and other document-related tools, as needed.
  • Other Administrative Support: Provide additional administrative support as needed, including assisting with filing, document production, and formatting presentations.


Skills and Qualifications:

  • Experience: Minimum of 3-5 years of experience working as a Word Processor, preferably in a legal or professional services environment. Experience working with legal documents and terminology is a plus.
  • Technical Skills: Proficient in Microsoft Word (advanced functions such as styles, tables of contents, track changes, and document collaboration), Adobe Acrobat, and other relevant software. Familiarity with document management systems (e.g., iManage, NetDocuments) is a plus.
  • Attention to Detail: Exceptional proofreading skills and the ability to maintain accuracy and consistency across all documents.
  • Organizational Skills: Strong time management skills with the ability to prioritize multiple tasks in a fast-paced environment and meet deadlines.
  • Communication: Excellent verbal and written communication skills with the ability to interact professionally with attorneys, clients, and other staff members.
  • Team Player: Able to work independently as well as collaboratively within a team, and adapt to changing priorities.
