We are seeking a dynamic individual to manage the day-to-day operations in a Biotech environment. This is an exciting and unique opportunity to support our Pharmaceutical Development team's office and lab space. In this critical role, you will serve as the primary interface between our company and its service providers, vendors, and consultants. This position requires great attention to detail, organization, and professionalism, and the ability to maintain an efficient business environment.
Responsibilities
Greet and check in visitors with positive, helpful attitude
Maintain workplace security by issuing visitor badges and monitoring visitor logs
Inform employees of visitors' arrivals
Answer phones in a professional manner and route calls or take messages as necessary
Sort and distribute mail, packages, and deliveries
Handle outgoing mail and packages
Provide excellent customer service
Stock and keep inventory of snacks and office supplies
Maintain clean, organized reception and lobby area and copy rooms
Provide facilities support during events
Complete required trainings and compliance courses as assigned
Manage the Office Management vendors; including contracts, certificate of insurance, purchase orders, invoicing, schedules, vendor relations & communication, and triaging communication to Operational Teams as needed
Coordination with Facilities for all work orders to ensure work is completed in a timely fashion
Ability to work on tight deadlines, and manage changing priorities
Prepare, document, and distribute all meeting materials for projects. Ensure projects adhere to frameworks and all documentation is maintained appropriately
Act as the Liaison amongst the Administration Team and Facilities
Requirements
Bachelor's degree, an Associates with 1+ year experience, or, extensive experience in the EA and project coordinator role.
1+ years' experience as a Project Administrator or similar role desired
Proficiency in Microsoft Office Suite
Excellent attention to detail, organized and methodical
Ability to quickly produce quality project meeting notes
Adept to organize large amounts of data, and deal effectively with repetitious work
Exceptional verbal and written communication skills
Skilled at prioritization, multi-tasking and excellent organizational skills
