Essential Functions

  • Manage active calendars for busy executives; serve as an effective gatekeeper and prioritize conflicting needs; handle matters expeditiously and proactively and establish a bridge for smooth communication
  • Respond efficiently to phone and email inquiries
  • Prepare for all meetings; zoom or in person. Set up technology and all needs in the physical environment
  • Interact with corporate departments; IT, HR, accounting to facilitate needs of the executives
  • Maintain effective filing system and provide research support for team projects
  • Draft, compose, and distribute correspondence, communicating directly and on behalf of the executives; ensure efficient distribution of reports, communications, and other critical documents
  • Create and prepare presentations for meetings
  • Develop and maintain reports on several internal processes and systems on a weekly basis
  • Generate summarized reports with key information quarterly to compare and track variances and develop improvements
  • Manage highly confidential and sensitive information with the utmost discretion
  • Maintain project spreadsheets
  • Track expenses on corporate credit cards and submit expense reports
  • Coordinate all travel arrangements and provide detailed travel plans, itineraries, and agendas
  • Assist with special projects upon request, ensuring follow-through on projects to successful completion, often with deadline pressures

Knowledge, Skills, and Abilities

  • Start-up mentality: roll your sleeves up approach and ability to wear many hats in a unique environment
  • Customer service oriented
  • Proficiency in Microsoft Office Suite including intermediate knowledge of Excel and PowerPoint
  • Ability to keep sensitive information highly confidential
  • Excellent written and verbal communication skills
  • Strong interpersonal skills, and the ability to deal professionally with clients, vendors, and co-workers on the phone and in person
  • Excellent organizational and time management skills, ability to take initiative, use good judgment, demonstrate a strong sense of urgency and attention to detail, and carry multiple projects through to completion
  • Ability to work collaboratively in a team environment and independently, prioritize work and ask for further clarification when necessary
  • Ability to work under pressure with tight time constraints, as well as the ability to deal with frequent interruptions, unresolved situations, frequent change, delays, or unexpected event

Required Education And Experience

  • High school diploma or equivalent
  • Minimum 3 years' experience in similar administrative role

Preferred Education And Experience

  • College degree in related field
  • Notary Public
  • Knowledge and previous experience with Microsoft Project
