Established in 2023, CommuniCare+OLE is the result of a union of two health centers with deep roots in their respective communities and reputations for providing high‑quality primary care to all, regardless of insurance or ability to pay: OLE Health of Napa and Solano Counties and CommuniCare Health Centers of Yolo County. Building on a legacy established by both organizations in 1972, CommuniCare+OLE is a network of federally‑qualified health centers with 17 sites across Napa, Solano, and Yolo Counties. It offers comprehensive care, including medical, dental, behavioral health and substance use treatment, nutrition, optometry, pharmacy, care coordination, referrals, and enrollment assistance to more than 70,000 individuals, and no one is turned away due to lack of insurance, immigration status, or ability to pay. Many services are offered outside of its sites, including mobile health, home visiting, and community and school‑based programs.

Job Summary / Overview

The Dental Services Manager is responsible for planning, coordinating, and supporting department operations and staff on a day‑to‑day basis to ensure delivery of customer‑focused, efficient, quality patient care is provided to patients. The Dental Services Manager will create and lead a synchronized environment, rich with information and communication, that streamlines patient experience, provides support and direct supervision of staff while maximizing the use of health center resources. Provides patient care based on practice guidelines, standards of care, and federal/state laws and regulations.

This position requires the flexibility to travel from site to site as needed.

Minimum Position Requirements

  • Education: Associate's degree in health administration or related field or minimum of two years progressive related experience.
  • Experience / Lived Experience:
    • Must have demonstrated supervisory experience.
    • Must have dental front office and/or dental assistant experience.
    • Work experience in a community health center environment preferred.
    • Computer and data entry skills required.
    • Experience working with culturally diverse populations.
  • Special Skills / Training:
    • Strong verbal and written communication skills required; Bilingual (English/Spanish) preferred.
    • Excellent interpersonal and customer service skills required.
    • Must have strong analytical skills and ability to problem solve.
    • Strong organizational, planning, and delegating skills required.
    • Current CPR certification required.
    • Driver's license required.

Essential Functions and Responsibilities

  • Oversee the daily operations of dental clinics, including scheduling, resource allocation, troubleshooting clinic flow, and ensuring efficient workflow management to provide a seamless patient experience.
  • Monitor provider schedules and complete weekly reports to evaluate patient flow, no‑show rates, and productivity to optimize scheduling.
  • Review phone call activity and data to ensure appropriate call management and goal attainment.
  • Monitors performance metrics and provides coaching and training to improve team performance.
  • Maintain strong communication with management and staff regarding operations. Identify necessary information, utilize resources to find answers, and effectively present facts and ideas verbally and in writing.
  • Collaborate with dental leadership to monitor, analyze, and enhance quality performance metrics while identifying areas of improvement and implementing best practices.
  • Collaborate with management to develop and update clinic policies and procedures.
  • Support the recruitment, onboarding, and development of dental staff, including back‑office staff, front office staff, leads, and supervisors, fostering a culture of continuous learning.
  • Attend and participate in required meetings, trainings, and educational programs. Collaborate with dental leadership in creating PowerPoint presentations for monthly meetings.
  • Oversee incident reporting including documentation and investigation, ensuring timely and thorough resolution of issues.
  • Collaborate with dental leadership to develop and maintain the budget, providing support with acquiring equipment request quotes, financial planning and managing financial resources effectively.
  • Support the process of ordering dental supplies, processing invoices, and maintaining accurate inventory records, ensuring the availability of necessary materials for clinic operations with support of the back‑office supervisors and leads.
  • Conduct monthly audits of the maintenance logs. Follow up with dental back‑office supervisors/leads for maintenance and repairs, as needed.
  • Oversee radiation safety monitoring, dental unit water line maintenance, and spore testing, ensuring compliance with safety regulations and guidelines.
  • Report non‑compliance to management immediately.
  • Oversee cash handling procedures, make bank deposits, reconcile balances, ensure documentation is accurate and provided to Finance department in a timely manner.
  • Collaborate with community outreach to develop and participate in health fairs to promote dental health awareness.
  • Foster a culture of appreciation and ensure meaningful recognition of staff achievements and contributions across the department that promotes staff engagement and retention.
  • Complete other tasks as needed.
