Job Location: Sonoma, California
Job Type: Temporary; part time 16 hours a week
Pay Rate: $25-$28/hour
Schedule: Monday - Friday; 8am-4:30pm Description of Position: Do you have experience as a Administrative Assistant and are looking for a part-time opportunity? We are seeking a detail-oriented and professional individual to provide administrative and operational support in managing trusts, estates, and conservatorships. This role is ideal for someone who is highly organized, discreet, and comfortable handling sensitive financial and client information.
The Administrative Assistant will support daily office operations, client communications, and financial administration while working closely with the Fiduciary to manage active cases. This is a part time role with a flexible schedule.
Job Responsibilities:

  • Answer incoming calls, respond to client inquires, and track / follow up with prospective clients and new leads
  • Ensure timely handling of time-sensitive documents, maintain organized physical, and digital filing systems
  • Enter and track client transactions using Quicken, reconcile bank accounts, and maintain accurate records for multiple trusts and estates
  • Collaborate with the Fiduciary on active case management
  • Coordinate with attorneys, financial institutions, and agencies
  • Track deadlines, court dates, and required filings
Description of Company: You will be supporting a well-established Fiduciary company in Sonoma, California. Experience Required:
  • High school diploma or equivalent
  • Minimum 2 years of administrative or bookkeeping experience
  • Proficiency with Quicken or similar accounting software
  • Strong Microsoft Office skills (Word, Excel, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational skills with attention to detail
  • Ability to handle confidential information with professionalism
  • Valid California driver's license and reliable transportation
  • Ability to work independently and as part of a small team

Preferred experience:
  • Experience in estate or trust administration, or legal field
  • Familiarity with probate court procedures
  • Experience with case management systems
  • Understanding of fiduciary responsibilities
  • Notary public or (willingness to obtain)
