About the Role
The Specialist Warehouse is a dynamic role encompassing a variety of responsibilities that go beyond those of a Warehouse Associate but do not include the leadership duties of a Warehouse Lead. This role provides critical support in either a Receiving Focus or WMS Inventory Focus to ensure warehouse operations run smoothly and efficiently:
Receiving Focus: Responsible for handling all product-receiving functions ensuring shipments are inspected, counted, and stored accurately. This position supports the warehouse and quality assurance teams, managing all GMP paperwork, documentation, and electronic systems.
WMS Inventory Focus: Aids in implementing and maintaining the Warehouse Management System (WMS), ensuring alignment between physical inventory and WMS data, and processing requisitions accurately.

How You'll Make a Difference
Receiving Focus:
- Receive and inspect packaging materials, produce, proteins, dry goods, canned goods, and frozen products.
- Verify that materials match invoices and purchase orders, cross-referencing item specifications, quantities, and pricing.
- Serve as a backup for inventory management; update the Galley platform for received materials and integrate them into inventory cycle counts.
- Rotate products in the warehouse, refrigerator, and freezer daily using the FIFO method.
- Collaborate with leadership and cross-functional teams (e.g., production, kitchen, facilities, quality assurance, procurement) to address shortages, quality issues, and pricing discrepancies.
- Proactively communicate with Procurement and Production leadership on mismatches in materials, quantities, specifications, and pricing.
- Update Galley and procurement tracking platforms consistently.
- Verify that all meal components are ordered and received; collaborate with leadership to establish multiple checkpoint stages in the production cycle.
- Navigate purchase order workbooks, ordering emails, and Thistle dashboard documents to ensure quality control.
- Maintain accurate receiving documentation for Quality Assurance teams.
- Ensure consistent quality standards and initiatives are upheld for all received and stored products.
- Conduct inventory counts, reporting shortages or issues to leadership.
- Break down pallets as needed, and maintain a clean and organized warehouse environment.
- Check in orders and scan products into the system.
WMS Inventory Focus
- Develop in-depth expertise in the functionality of the Warehouse Management System (WMS).
- Conduct physical inventory counts and reconcile them with WMS records.
- Process requisitions in the WMS, auditing physical goods for accuracy and quality.
- Collaborate with other departments to fulfill requisitions promptly and accurately.
- Maintain Return-to-Stock and Work-in-Progress (WIP) areas, ensuring accurate updates in the WMS.
- Participate in cycle counts, including end-of-month counts that may occur outside your regular schedule.
Who You Are
- High school diploma or equivalent required; degree preferred.
- Minimum of 2+ years of warehouse receiving or similar experience required; warehouse receiving and/or requisitioning experience in a high-volume food production facility highly preferred.
- Comfortable working in cold environments, including freezers, for extended periods.
- Ability to stand and bend for long periods and lift up to 50 lbs repetitively.
- Skilled in using hand tools, scales, and box-cutters; forklift certification preferred.
- Self-motivated with the ability to work under tight deadlines.
- Strong problem-solving skills with basic math proficiency.
- Detail-oriented with excellent communication skills.
- Familiarity with food product materials preferred.
- Knowledge of GMP manufacturing practices.
- Proficient with G-Suite, spreadsheets, and WMS or other product tracking platforms.
- State-designated Food Handlers Certification required within 30 days of hire; Food Manager Certification preferred.
